Registration Card Disclaimer

Set the disclaimer text that appears on the guest registration card. This is typically used for legal terms, policies, or consent statements that guests acknowledge during check-in.

What This Setting Does​

The registration card disclaimer:

  • Appears on the digital registration card during check-in
  • Is included on printed registration cards
  • Can be configured in multiple languages
  • Is typically used for legal acknowledgements, hotel policies, or terms of stay

Guest & Staff Impact​

  • Guests: Must read and accept the disclaimer during check-in; it also appears on printed registration cards.
  • Staff: Ensures legal and policy acknowledgements are captured consistently without manual paperwork.

When the Registration Card Is Generated​

  • The registration card PDF is generated right after the guest submits their signature during check-in.
  • If your property uses the Thailand RR3 template, the RR3 form is generated at the same moment using that signature.
  • In assisted check-in, the same timing applies once staff capture and submit the guest's signature.

Configuration Steps​

Step 1: Navigate to Disclaimer Settings​

  1. Go to Settings → Check-In → Registration Card Disclaimer
  2. You'll see a text area with language tabs

Step 2: Enter Disclaimer Text​

  1. Click the language tab (e.g., EN, TH, ZH)
  2. Enter your disclaimer text in that language
  3. Repeat for each enabled language
  4. Click Save

Example Disclaimers​

Standard Hotel Policy:

By signing this registration card, I agree to the hotel's terms and conditions. 
I am responsible for all charges incurred during my stay and agree to pay upon checkout.

Data Protection:

Your personal data will be processed in accordance with our privacy policy. 
We may collect and store identification documents as required by local law.

  • 💡 Ensure translations are accurate (consider professional translation)
  • 💡 Review with your legal team periodically

Custom Registration Card Templates​

For advanced customization, you can upload a custom registration card template:

  1. Choose Custom Template option
  2. Upload your PDF or DOCX template
  3. Map fields to registration card data
  4. Configure checkbox mappings for agreements

Troubleshooting​

Disclaimer Not Appearing​

  1. Ensure you've saved the disclaimer
  2. Check that the guest's language is enabled
  3. Verify registration card generation is configured

Translation Issues​

  1. Confirm the language is enabled in Supported Languages
  2. Enter text in each language tab separately
  3. Test with a sample check-in in each language
