Room Not Ready Messages

Configure the messages displayed to guests when their room is not ready during check-in. These messages help set expectations and maintain a positive guest experience.

Guest & Staff Impact

  • Guests: See a friendly explanation when their room is not ready and understand what to do next.
  • Staff: Fewer repeated questions at the front desk because the guest flow already sets expectations.

Message Types

Early Arrival Message

Displayed when guests check in before the allowed check-in time and their room isn't ready.

  • When shown: Guest arrives before check-in time (e.g., arrives at 11:00 AM when check-in is 2:00 PM)
  • Purpose: Explain why they need to wait and when to return
  • Example: "Thank you for staying with us, your room is currently being prepared. Please return to collect your keys during check-in time."

This field only appears if you've set an Allowed Check-In Time in Check-In Information settings.

After Check-In Time (Room Not Ready)

Displayed when guests arrive after check-in time but their room still isn't ready.

  • When shown: Guest arrives after check-in time but room is still occupied or being cleaned
  • Purpose: Apologize and explain the room is being prepared
  • Example: "Thank you for staying with us, your room is currently being prepared."

Configuration Steps

Step 1: Navigate to Settings

  1. Go to Settings → Check-In → Room Not Ready Messages
  2. You'll see message fields for each scenario

Step 2: Enter Messages

  1. Click the language tabs to enter messages in each enabled language
  2. Enter your Early Arrival Message (if check-in time is set)
  3. Enter your After Check-In Time message
  4. Click Save

Best Practices

  • 💡 Keep messages friendly and apologetic
  • 💡 Mention that the room is being "prepared" rather than "not cleaned"
  • 💡 Include expected wait time if possible
  • 💡 Translate all messages for international guests

Troubleshooting

Early Arrival Message Field Not Showing

You need to set an Allowed Check-In Time in Check-In Information first.

  1. Go to Settings → Check-In → Check-In Information
  2. Set the check-in time
  3. Return to Room Not Ready Messages

Messages Not Saving

  1. Ensure you've entered text in at least the English field
  2. Click the Save button
  3. Refresh and verify your changes appear
