See Who Changed What

Quick Check

Set the date range to Last 7 days, then click any row to see the exact fields that changed, before and after.

This guide helps you find out which staff member made a change, when they made it, and what the value was before. Use it for security reviews, handover disputes, and "who turned this off?" questions.

Where to Find It

Go to: Main Menu → Audit Log

This is not the check-in event log

The Audit Log records what your staff did in AVA. To trace what happened during a guest's check-in, use the Audit Trail inside Command Center instead.

Who Can Open It

RequirementDetail
PermissionYour role needs audit access. Without it, Audit Log does not appear in the menu
PlanAn active subscription. On the free tier the menu item shows a padlock and clicking it opens the upgrade prompt

Upgrade at Settings → Billing & Subscription.

Quick Reference

ColumnWhat it shows
TimestampWhen it happened, in your hotel's timezone with the zone shown, plus how long ago
ActorWho did it — name, user ID, and the IP address they acted from
ActionWhat they did, the event type, and which record was affected
OutcomeWhether it succeeded, failed, or was denied

What Gets Recorded

RecordedNot recorded
Staff sign-ins, including social sign-insSimply viewing or browsing a page
Any change a signed-in staff member makes — creating, updating, or deletingAnything done while signed out
Video call activityHealth checks and internal system traffic
Lost key eventsA handful of high-volume background calls (see below)
Changes only, not reads

AVA records actions that change something. Opening a reservation, running a report, or scrolling the dashboard leaves no entry. If you are looking for proof that someone saw a record, the Audit Log will not have it.

A few high-volume routine calls are deliberately left out to keep the log readable: push-notification subscribe and unsubscribe, marking all notifications read, and the background housekeeping-status and room-access-info refreshes.

Sensitive values are hidden

Passwords, tokens, credentials, payment-card details, document identifiers, and door access codes appear as [REDACTED] in audit details. AVA masks them when it writes new entries and when it reads older entries. Endpoint query strings are removed, while credentials in free text, URLs, and errors are scrubbed. You can confirm a field changed without seeing its secret. Very large payloads are shortened, so a long entry may end in a truncation note.

Find a Specific Change

  1. Go to Main Menu → Audit Log

  2. Set the date range — Last 24 hours, Last 7 days, Last 30 days, or All time

The page opens on Last 7 days

  3. Narrow further with All event types or All results if you know what you are looking for

  4. Type in the search box to narrow by action

✓ Results update as you type, after a short pause

  5. Click the row to expand it

Results are shown 12 at a time — use the pager at the bottom to move through them.

Read the change detail

Expanding a row shows a Field / Before / After table, with changed rows highlighted. None means the field had no value on that side — so a None → 18 row is a value being set for the first time, and 18 → None is one being cleared.

If AVA could not break the entry into fields, it shows the raw record instead. That is still readable, and it is what support will ask for.

Reading the Summary Cards

CardWhat it counts
Events (filtered)Every event matching your filters, across all pages
Security & accessSign-in, permission, and settings events on the page you are viewing
FailuresEvents marked failed or error on the page you are viewing
Unique actorsDistinct staff members on the page you are viewing
Three cards count the current page only

Only Events (filtered) counts your whole filtered result. The other three recount every time you turn the page. Do not read "Failures: 2" as two failures in the whole week — it means two on the twelve rows in front of you.

Things Worth Knowing

  • The filter lists build themselves. All event types and All results are assembled from the entries currently loaded. A type you saw yesterday may be missing from the dropdown today simply because no entry on this page has it. Widen the date range to bring the option back.
  • Search is ignored while the Lost Key filter is on. Choosing Lost Key from the event type list returns lost-key events only, and anything in the search box is set aside until you switch back.
  • Timestamps follow the hotel, not your laptop. Times are shown in the property's configured timezone with the zone in brackets, so a manager reviewing from another country sees the same time the front desk saw.
  • The list is not live. Click Refresh to pull new entries; the header shows how long ago the page last loaded.

Troubleshooting

"Audit log API is not available here"

What you see: The message replaces the list, and no events load.

Why it happens: This environment cannot reach the audit service.

Fix: Click Refresh. If it persists, contact support — this is not something you can fix from settings.

"Staff activity history requires an active subscription"

What you see: A padlock on the menu item, or this message instead of results.

Fix: Activate a subscription at Settings → Billing & Subscription.

No entries at all

What you see: "No audit entries yet".

Check:

  • The date range is wide enough — try All time
  • The search box is empty
  • Both dropdowns are back on All event types and All results

The change I am looking for is not there

Check, in this order:

  • The date range covers when it happened
  • The change actually altered something — viewing a page is never recorded
  • It was not one of the routine background calls listed in What Gets Recorded
  • The change was made in AVA, not directly in your PMS — changes made in the PMS are recorded by the PMS, not here

Times look wrong

What you see: Entries appear hours off from when you know they happened.

Fix: Check the property timezone at Settings → Essentials. The Audit Log renders every timestamp in that timezone, so a wrong setting shifts the whole list.

Still Stuck?

Contact success@vouch-technologies.com if:

  • ❌ A change you can prove happened has no entry
  • ❌ The log stays empty across All time with no filters
  • ❌ An entry names an actor you do not recognise

Helpful to include:

  • The date, time, and timezone of the change
  • The staff member's name or email
  • What changed, and what it changed from and to
