Manage Room Types and Catalog Items

Quick Setup

Most hotels can review rooms, items, and add-ons in 5 minutes.

This guide helps you manage room types and PMS catalog records from Rooms.

Catalog first, rates second

The Rooms page shows the PMS catalog first. Room rates hydrate in the background after the list loads. Walk-in can still show fewer room types because it only quotes matching stay details.

PMS access mode

What you can do depends on your active PMS permissions. Some properties can only view records. Others can create, edit, or delete them.

View Room Types

  1. Go to Rooms.

  2. Select the Room Types tab.

    ✓ You see the list with Room Type, Description, Capacity, and Rooms.

Manage Items

  1. Go to Rooms.

  2. Select the Items tab.

  3. Use Search items... to find a record.

  4. Click Add Item to create one.

  5. Click Manage to edit an item.

  6. Click Delete to remove an item.

    ✓ You see columns for Name, Description, Category, Price, Status, and Source.

Read-only items

If your PMS only allows viewing, you will see View instead of Manage. You will also lose the Add Item button.

Manage Add-ons

  1. Go to Rooms.

  2. Select the Add-ons tab.

  3. Use Search add-ons... to find a record.

  4. Click Add Add-on to create one.

  5. Click Manage to edit an add-on.

  6. Click Delete to remove an add-on.

    ✓ You see columns for Name, Description, Category, Price, Status, and Source.

Cloudbeds add-ons

Cloudbeds add-ons can open a richer read-only view. That view shows pricing, schedules, and room-type rules.

Create a Room Type

  1. Select Add Room Type.

  2. Enter the Name.

  3. Select a Room View.

  4. Enter Default Capacity.

  5. Optional: Enter Description, photos, and room details.

  6. Click Save.

    ✓ You see "Room type created".

Edit a Room Type

  1. Find the room type.

  2. Click Manage.

  3. Update the fields you need.

  4. Click Save.

    ✓ You see "Room type updated".

Delete a Room Type

  1. Find the room type.

  2. Click Delete.

  3. Confirm by clicking Delete again.

    ✓ You see "Room type deleted".

Before you delete

If rooms still use the type, deletion may fail. Update those rooms first.

Search Room Types

  1. Use Search room types.

  2. Enter a name or description.

    ✓ The list updates as you type.

Tips

  • Use clear names like "Deluxe King" or "Standard Twin".
  • Keep capacity aligned with your PMS room rules.
  • Add descriptions for quick staff reference.
  • Use the Source column to confirm where a record came from.
  • If a tab is missing, your PMS may not support that record type.

Troubleshooting

"Failed to load room types"

What you see: A red error message at the bottom of the list.

Fix:

  1. Refresh the page.
  2. Try again after a minute.

Room types load, but rates stay blank

What you see: The room type appears, but the rate column still shows a dash.

Fix:

  1. Wait a few seconds for background rate hydration.
  2. Refresh Rooms once.
  3. Confirm your PMS publishes rates for that room type.
  4. Reconnect PMS if the catalog still shows no rates.

"Room type is still assigned to rooms"

What you see: A delete error message.

Fix:

  1. Move rooms to another type.
  2. Try the delete again.

You only see "View" instead of "Manage"

What you see: The actions column shows View only.

Fix:

  1. Check your active PMS provider in Settings → Essentials → PMS Integration.
  2. Refresh the Rooms page after reconnecting.
  3. Keep using View mode if your PMS is read-only for that record type.

Items or Add-ons tabs are missing

What you see: You only see Rooms and Room Types.

Fix:

  1. Check whether your PMS supports catalog lists.
  2. Refresh the Rooms page.
  3. Reconnect your PMS if the tabs still do not appear.

"Save" stays disabled

What you see: The Save button is gray.

Fix:

  1. Enter a Name.
  2. Remove any empty spaces.
