Schedule WhatsApp Pre-Arrival Messages

Quick Setup

Most hotels finish this in 3 minutes after templates are approved.

This guide helps you schedule automated WhatsApp messages before arrival.

Before You Start

Confirm these requirements:

  • Your plan includes WhatsApp messaging
  • WhatsApp is connected in Settings → Communications → WhatsApp → Setup
  • At least one approved WhatsApp template exists

Schedule the Message

  1. Go to Pre-Arrival → Messages.

  2. Select the WhatsApp tab.

  3. In Notification Status, click Enabled.

  4. Enter a number in Days before check-in.

  5. Set a value in Send time (HH:MM).

  6. Open Select Template and choose an approved template.

  7. Click Save.

    ✓ You see a success message.

Preview the Message

  1. Select a template.

  2. Review the Template Preview panel.

  3. Confirm variables are highlighted.

    ✓ The preview updates with your template.

Troubleshooting

No approved templates available

What you see: "No approved templates available."

Fix:

  1. Connect WhatsApp in Settings → Communications → WhatsApp → Setup.
  2. Create or approve a template in Settings → Communications → WhatsApp → Templates.
  3. Return to Pre-Arrival → Messages and choose WhatsApp.

Save error asks for a template

What you see: "Please select a template for pre-checkin notifications."

Fix:

  1. Open Select Template.
  2. Choose a template from the list.
  3. Click Save.

Guests do not receive messages

What you see: Guests do not receive the message.

Fix:

  1. Confirm Notification Status is Enabled.
  2. Confirm the selected template stays Approved.
  3. Save again after any changes.
