Log Filters and Search

Quick Setup

Start with Date (last 7 days by default) and Search. You can find most reservations in under 30 seconds.

This guide helps you narrow results in Command Center.

Go to: Main Menu → Command Center

Tablet and desktop layout

On iPad-sized screens and narrow desktops, the filter bar keeps the date range on its own row. The remaining filters stay underneath so labels do not truncate. This two-section layout stays in place on wide desktops.

  1. Enter a current or replaced guest name, room number, confirmation number, external booking ID, or payment amount in Search.

  2. Separate several searches with commas, semicolons, tabs, or line breaks.

  3. You can paste a column or comma-separated list.

  4. Wait for the list to refresh.

✓ The Status list updates automatically. ✓ Each search appears as a removable chip. ✓ Results match any search term, so one search can find several reservations. ✓ The results line shows the number of searches.

Press Enter to commit the current search. Press Backspace in an empty box to remove the last chip. Select × on a chip to remove that search. Press Esc or select the clear button to remove all searches.

You can search for up to 20 terms at once. AVA stops accepting text after the limit and keeps the existing chips visible.

Command Center payment searches

Keep commas inside amounts such as 1,234 while typing. Type a comma followed by a space to commit the search before entering another term. Grouped amounts such as 1,128.12 stay together as one search term. Without a space, 101,102 can be read as one grouped amount.

Search names and amounts together

You can search a full name and an amount in one request, such as John Smith, 101. AVA checks each term independently and returns reservations matching either term.

Find a replaced guest name

When an ACI override changes a booking guest's name, AVA keeps the former name on the check-in record. Search using the former name, or enter the first and last names separately.

✓ The matching check-in or check-out log appears with the current reservation record.

Search by payment amount

Use this when you know the amount shown in the Payment column.

  1. Type the amount as shown, with or without commas.

  2. You can stop after any digit while the amount is still forming, like 64, 645, 645., 645.0, or 645.00.

  3. For grouped reservations, use the total shown across all rooms.

✓ The search matches Direct sale, Pre-authorisation, Captured, and Total paid amounts. ✓ Long numeric reservation and payment IDs still match through the normal identifier path.

Filter by date

  1. Select Date.

  2. Pick a Start and End date.

  3. Select Clear Dates to remove the range.

✓ The list updates to the new time window.

Status uses the reservation's actual journey and step activity for this date range. It does not use a later PMS metadata refresh date. This keeps a checkout on its real activity day, even after the PMS record changes.

The same activity date controls Latest Activity timestamps and sorting. Use Sort by → Latest Activity to find the most recently active reservations.

Latest activity combines valid check-in and check-out activity for the reservation. Use the separate journey times in each row to tell arrivals from departures.

Match staff activity to the date window

When you select Handled by with Date, AVA matches both filters to the same activity window.

  • The staff member must have recorded activity inside the selected dates.
  • The row appears when its own activity is in the window, or the staff member acted in the window.
  • A failed staff attempt still qualifies, even when reservation activity did not move.
  • A later guest checkout does not move an earlier staff check-in into the checkout date.

Use Arrival or Departure filters when you need stay dates instead of activity dates.

Filter by status

  1. Open Check-In Status or Check-Out Status.

  2. Select Completed, Incomplete, or Failed.

  3. Use Select All to toggle everything on or off.

✓ Only matching reservations remain in the list.

Status meanings:

  • Completed: All required steps finished.
  • Incomplete: The reservation is still in progress or pending.
  • Failed: At least one step failed.

Filter by check-in method

  1. On the Status tab, use Check-in Method.

  2. Choose Pre-arrival, Self Check-in, or Assisted Check-in.

✓ The list narrows to the selected method. ✓ On phones, the filter buttons appear in a 2-column grid so the labels wrap cleanly.

Filter by check-out method

  1. On the Status tab, use Check-out Method.

  2. Choose Self Check-out or Assisted Check-out.

✓ The list narrows to reservations with the selected check-out method. ✓ Pre-arrival is not available because it is a check-in method only.

Combine journey method filters

Use both method filters to find reservations matching both journeys.

  1. Select one or more options in Check-in Method.

  2. Select one or more options in Check-out Method.

✓ AVA applies the filters together. ✓ A reservation remains only when its check-in and check-out methods match. ✓ Changing either method filter starts a new search from page 1.

The check-in filter reads check-in activity only. The check-out filter reads check-out activity only. One journey cannot change the method shown for the other journey.

Filter by staff activity

Use Handled by to find reservations with recorded activity from a staff account during the selected window.

  1. On the Status tab, open Handled by.

  2. Select Me or another staff member.

  3. Use the search box in the staff list when needed.

✓ The list shows reservations that account handled during the selected dates. ✓ Failed attempts are included in the results. ✓ Choose All staff to remove the staff filter.

The filter covers recorded pre-registration, registration, check-in, and key-encoding activity. It does not identify reservation ownership. It does not include assisted check-out activity. For multi-room reservations, activity in one room keeps the reservation group visible. The other search, status, date, payment, and room filters still apply. The selected staff filter also applies to flat results, bulk results, and exports.

Understand filter loading

AVA clears replacement results while a changed filter request loads. This prevents reservations from the previous search from appearing under new filters.

  • Search text and selected filters stay in place while results load.
  • Changing a filter or property starts from page 1.
  • A same-filter refresh keeps visible rows and shows Updating.
  • On phones, the filter bar also shows loading feedback.

If a selected staff name is temporarily unavailable, the filter shows Selected staff. Your staff selection remains active while AVA reloads its staff choices.

Notes about filters

  • Filters apply to the Status tab.
  • Handled by applies only to the Status tab.
  • The Analytics tab only uses the Date range.
  • All staff includes reservations without recorded staff attribution.
  • Status date filters, activity timestamps, and Latest Activity sorting use journey or step activity.
  • Handled by uses the same hotel-local activity window as Date.
  • PMS metadata updates do not move an existing activity into a newer Status date.
